Last weekend, on layover in Indy, I took the time to do something that even the best of us can overlook - checking all my permits for expiration dates. Nothing says "incompetent" like scrabbling through the dozens of pages, under the eagle eye of a DOT officer or state trooper, looking for the one he's just asked for - especially if, when you've finally handed it to him, he hands it back, pointing out that it expired awhile ago...
You can avoid that horrible feeling, by making it a habit to check the dates, at least twice a year - write it on a calendar in your truck, if you need the reminder, like I know I do.
I circled or highlighted the expiration dates on every permit, to make it easier to find them, and only found one that was already passed, luckily. The Safety Department is very good at sending new ones, but ultimately, it's up to the driver to make sure we have what we need, as the trooper WILL remind you, if you don't have it - so let's try to not get caught off guard, ok? ;)

I put mine in alphabetical order and put them in sheet protectors in a binder. If I get asked for anything it's hopefully as easy as flipping to that state and handing over the sheet protector. If somebody wanted to be really impressive they could put them in order of admittance to the Union but alphabetical is the best I can do.

Cheri,
Is this the same safety department that sent me IFTA decals? When I called and questioned this I was told if they sent it, I need it. So I put the decals on and two days later got a QC message that it was a mistake and to return the decals.

Good tips! We waited in California for a load over the 4th of July turned out to be hazmat and didn't check our permit book till we picked up the load, turns out our hazmat permit expired the last day of June.

Permits are much easier to track today than they were 15 years ago. In the "old days" , each state, except AZ, DE, MD, and PA, issued ID Stamps or "Bingo Stamps". These stamps were affixed to a "Form D" cab card. Stamps were even required of carriers hauling "Exempt" (food/produce type) commodities.

Each state issued it's own Fuel decals, and each state had it's own requirements for which vehicles were required to display the fuel decals. These requirements varied by fuel type, GVW, axles, etc...

Today, the permits that are COMMON to most carriers, and their expirations are quite simple.

December 31 Expirations:
* IFTA Decals (May vary by state)
* RS-3 Form (Single State Registration Receipt - what took the place of ID Stamps)
* Michigan MPSC decals and cab card


June 30:
* Carrier's Hazardous Materials Registration


July 15:
* PUCO Tax Receipts (used for Ohio Intra-state Authority)


Watch for "Specialty" type permits such as any associated with "Intra" state authorities that the carrier you are leased onto may hold.

IRP license plates expire at various times throughout the year. Watch your registration for expiration specific to your IRP account.

Checking your permit book when you could be watching TV instead? That's the kind of attention to detail that distinguishes the professionals from the also-rans. Great post.

Wow! It took three years, but I finally met another "No TV" in the truck (van) driver. Cool!

I don't have the patience to wait out the commercials - by the time they're halfway through, I forget what I was watching, or why I wanted to, lol. I watch DVDs, play CDs, and try to avoid as much commercial clutter as possible - it keeps my blood pressure nice & low. ;) I'll probably get XM or Sirius, one of these days, but the CDs have only my favorite stuff, so I'm not sick of them, yet. I really don't miss tv at all- actually enjoy peace & quiet, too!

I waited a long time to get satilite radio while everyone was telling me how great it was and I would'nt regret it. They were right.

That's just wrong!!!

Seriously, more power to ya, but I always went crazy if my tv couldn't get reception while waiting..LOL. Once all the books and mags were read, letters written etc.. it was 'twiddle thumbs' time. Because ya know no-one else in the lounge wanted to watch anything good!!!!
