Log Books and Fuel Reciepts

Are the safety depts of other express companies out there using com data fuel cards to match fuel receipt times with log books? They have started doing that with Landstar Express America now..

Sounds like Big Brother to me.I think it is ilegal as you are a so called independent contractor. Don't use the com card and they can't check you. There are many credit card offers out that give anywhere from 3-5% rebate back on fuel purchases. We use a CTI ( Cti Bank),gives 5% back on fuel,3% on Drug Stores and Super Market Purchases and 1% on everything else.

Speaking from a legal standpoint. Your log better match your fuel purchase. In the event of an accident, especially with a fatality, all information available to prosecute will be obtained, period. This includes toll receipts, fuel purchases, qualcomm information, etc. Beware, due it legal or maybe find another profession?
I've been involved in several lawsuites and there is no rules of fair play. The gloves are off and they are after the quilty. Period... I know this sounds harsh, it's not personal, it's just business.. Bottom line, you don't have your logs matching fuel purchases? Then pay cash and have cash only receipts. Landstar is not the only company doing this.

All credit card purchases are time stamped as well. Cash purchases on hand written receipts is the only way to avoid tracking....as far as I know. Remember this is my opinion, take it for what it's worth.

Glen gives good advice,just draw a line on your log book for when and where you buy fuel,even if it's less then 15 minutes,indicate it.Where I live there is a sleaze bag lawyer on TV about 6 times a day telling prospective clients "If you have been injured in a truck accident contact me". You know the old saying,"If an airplane falls out of the sky and hits a truck,it's the drivers fault for being there"..

Hey Rich, does that CTI bank card give cash value or points? Just curious. Not a fan of comdata. Too expensive to use.

They give actual cash back,when you are elgible for $100.00 they send you a check.There is a $300.00 maximun per year that they will refund back..

The 5 percent on the fuel is not a bad deal. It would be good were I can't get our fleet discount or no flyin j.

Since we are on the topic of fuel reciepts I have a question/statement for at least fedex drivers out there. A few days ago our owner called and said fedex had some problem with our fuel reciepts that were emailed to them. This confused us for we send ours to them via tripak. Well it seems that at least our was sent to the tripak place and they scan them and email them to fedex. Somehow they were saying it was up to us to provide new reciepts to fedex. We sent in the originals the first time, and if they cant read them I don't really see how it is our fault. So we called fedex and they couldn't even tell us which ones they needed, but it is our responsibility. Has anyone else had this problem?

For us, we send the originals via trip pak. We do keep a copy for our records or in the event they get lost. We don't use Comdata for fuel so I am not aware of matching it against log books. I don't believe I have ever heard it mentioned either. Maybe a lawyer is using them in a traffic case to pin a driver or something?

Panther driver here, and Dave... Smile, 'cause the log dept. at PII has caught me a couple times trying to move fuel times - they do check comdata times with log times at PII.
Needless to say, I learned quick to get cash advances off of ComData and use cash for fuel.

Regarding fuel reciepts... you have usually 3 to 4 copies - when you get your fuel thru comdata that is.
Panther gets one in the TripPak, Owner gets one at the end of the month, and I keep a copy of one for my records in case there's ever any kind of questions regarding money or gallons or location.

When I get fuel using ComData, I put my Panther Pro Bill # (Trip number) on there.

I also write with ballpoint pen on the reciept whether or not it was "Fuel only" or Fuel/Cash Advance", or "Cash Advance Only". At the end of the month when I run reciepts for the owner, it's easy for me to see what bills go in what stacks.

On my fuel reciepts I always put in the trip number too - with a ball point pen.
I also put down the mileage, for Miles Per Gallon.
Even if you are a driver for an owner, you should want to know your miles per gallon. Why? well, then you can know more precisely how far you can go on the fuel you have... if your fuel guage is inaccurate (or worse- it breaks), you can always judge by miles on the odemeter...
Or if your truck has one, use the trip odemeter<very useful. I use my trip odemeter religiously. I get an easy measure of how many miles deadhead, how many miles to the pick-up, to the drop, and to my next load or layover point. Or Home. Or, in directions, the QC may say 3.1 miles, but maybe it's more like 3.5, there is a difference. then there's those times you get directions like "about 3 miles", and you can correct them if it's more like "about 5.8 miles" or "about 12 miles" or "about 1 mile". You get the idea. Ahhh, the joys of being paid to see the country. Smile!
Now, why did I specifically mention Ball point pens? because while a felt tipped pen writes nice, it looks awful if that paper gets wet.

So, lesson here... use Cash, and keep a copy of your fuel reciepts... the rest I threw in as a bonus 'cause I think ya'll are cool.

I wasn't aware that Panther did that. I have never used Comdata so I quess that is why. I have never seen the point of paying someone else to use my own money. We did have it for a couple of months back in the Roberts days, and they were terrible with their accounting practices. Hopefully they have improved over the years. You could eventually get things straightened out, but it required numerous phone calls, faxes, and letters. Way to much aggravation than I was willing to put up with.
Panther uses it for their check dispersement, but we have no activity with them, other than that.
